1. Purpose
These terms govern access to and use of HostFlow, the vacation rental operations platform provided by Active Network Global SL (Spanish tax ID B93372217, C/ Decano Manuel Domínguez 12, 29140 Málaga, Spain — "HostFlow", "we"), by whoever creates a business account ("you", "the client").
By creating an account you accept these terms and the Privacy policy.
2. Who can sign up
HostFlow is built for whoever legally manages one or more tourist properties (their own or on behalf of third parties). You're responsible for your activity complying with applicable regulations, including each property's tourist license where required.
3. Your account
You're responsible for keeping your password confidential and for all activity that happens from your account. Let us know if you believe someone else has accessed it without your permission.
4. What the service includes
- The console for managing properties, reservations, guests and access.
- The Guest Pass, the link your guests receive.
- Synchronization with your connected property management system (PMS).
- Traveler registration compliance (SES.Hospedajes), when your property is in Spain.
- Additional features as they're activated: guest messaging, connected locks, third-party add-on services.
HostFlow doesn't own the source of truth for your property or your reservations: that information comes from the management platform you connect.
5. Price and billing
- Subscription per active property: €12.90/month (monthly billing) or €130.80/year (≈€10.90/month), before tax. Prices subject to change, always announced in advance.
- Activating or deactivating properties mid-period adjusts the fee: increases are prorated immediately; decreases don't generate any credit or refund for what's already paid, and apply from the next invoice.
- Payment is handled via Stripe; you never enter your card details on any HostFlow screen.
- HostFlow charges no commission on what you charge your guests — not on the booking, nor on add-on services you sell through the platform. Stripe's own processing fees are separate.
- When a third-party provider connected through HostFlow pays a commission for a sale generated from the platform, it's split 50/50 with you — you'll be informed of the specific terms once that split is active for a given provider.
6. Term and cancellation
There's no minimum commitment. You can cancel anytime from your account; cancellation takes effect at the end of the already-paid period, with no refund for the elapsed portion. Once cancelled, you lose access to the service for active properties, but we retain your data per the retention periods in the Privacy policy.
We may suspend or close your account if you seriously breach these terms, if your activity is illegal, or if the fee isn't paid — always giving reasonable notice unless the law or the service's security require acting sooner.
7. Your obligations
- That the data you enter is accurate.
- Complying with regulations applicable to your activity, including traveler registration where it exists — HostFlow gives you the tool, but the legal obligation is yours.
- Not using the platform for illegal or fraudulent activity, or activity that infringes third-party rights.
- Not attempting to access other accounts' data or compromising the service's security.
8. Service availability
We make reasonable efforts to keep the service available, but we don't guarantee a specific service level (SLA) at this stage of the product. We may interrupt the service occasionally for maintenance, notifying you when possible.
9. Intellectual property
HostFlow, its brand, software and design are the property of Active Network Global SL. Your contract grants you a right to use the service while your subscription lasts, not ownership of any part of the platform. Data you enter (your properties, reservations, guests) remains yours.
10. Data protection
Regarding your guests' data that HostFlow processes on your behalf (the Guest Pass, traveler registration, messaging), you are the data controller and HostFlow acts as processor, per the Privacy policy. You're responsible for informing your guests that you use HostFlow to manage their stay.
11. Limitation of liability
The service is provided "as is", with the reasonable care expected of a platform at this stage of development. To the extent permitted by law, HostFlow isn't liable for indirect damages, loss of profit, or data loss caused by a failure of a connected third party (your PMS, Stripe, the SMS or AI provider, the Ministry of the Interior's system). Nothing in this clause excludes liability that can't be excluded by law.
12. Changes to these terms
We may update these terms; if the change is material, we'll give reasonable notice before it takes effect. Continuing to use the service after that notice means accepting the new terms.
13. Governing law and jurisdiction
These terms are governed by Spanish law. For any dispute, the parties submit to the Courts of Málaga, unless applicable consumer regulations, if the client qualifies as a consumer, establish a different venue.
Are you a guest?
These terms cover the business account. If you received a Guest Pass from your host, different terms apply to you — ask your host directly.
